Here is a high-level overview of the types of data that can be imported. Please expand each arrow to learn specifics about each.
GL Codes
GL Codes
At least 25 GL codes are needed for import.
Timeline: This item is generally completed early.
GIS Boundary Map
GIS Boundary Map
A KML file can be imported to enable resident and non-resident pricing.
Action Required: Obtain the GIS boundary file from your local zoning committee.
Cost: One GIS boundary file import is free. Please let your DaySmart rep if you will be importing more than one.
Timeline: On average training can begin for this one week after providing the GIS KML file.
Resources
Resources
Resources will only be imported if they are used for the facility event import.
Important:
Do not create resource spaces until the import is complete to avoid duplicates.
Imported resource names should not be changed.
Timeline: On average this is addressed early during importing.
Facility Events
Facility Events
Events can be imported to block out calendar space for existing rental events. This includes facility rental events and book events.
Important:
Events will be imported with attached customer accounts, but invoices, contracts, or billing data will not be included.
For rentals/contracts with balances due, manually enter them after rental/booking training to generate open invoices.
If they have partially paid on the rental, we can utilize a custom payment type to display what has already been paid in AthleteTrax.

Customer Data
Customer Data
Customer data from your existing database can be imported.
Important: Imported family structures may require manual corrections.
Included Data:
Last Name/First Name (Head of Household)
Family Members
Birthdate, Gender, Company Name (if applicable)
Address, Primary Phone Number, Primary Email Address
Emergency Contact Name & Phone Number
Customer Notes
Last 2 years of active customer records
Active is defined as having a registration transaction, membership, or rental.
Timeline: This item is completed two weeks prior to go-live date.
Membership Products & Existing Customer Memberships
Membership Products & Existing Customer Memberships
Membership products will be created based on your existing database. Active memberships and expiration dates will be imported.
Timeline: This item is completed two weeks prior to go-live date.
Recurring Membership Billing & Payment Tokens
Recurring Membership Billing & Payment Tokens
Only billing tokens for customers on recurring membership billing will be imported.
Requirement: Must use CardConnect for recurring billing tokens to be migrated.

Passes (Digital Punch Passes) Procedure
Passes (Digital Punch Passes) Procedure
Pass products and passes will be created based on existing database settings. Active passes with accurate remaining scans will be imported.

What Does The Process Look Like?
During your Initial Consultation:
Our onboarding team will address any questions you have about data import options.
We will set up your OneDrive account during the first call and gather the following information:
Data to be imported.
Go-live date.
Set expectations on import timelines.
Clear communication will be provided regarding the data pull date and the entry date into Dash.
Important Notes
Data will be exported and imported ONCE based on the agreed timeline. If you need to change your go-live date before the data export, please inform your Dash Onboarding Specialist.
Once data is exported, any new customer/event/membership/product data will need to be manually entered into Dash.
What Can I Do if I Want to Continue Without Using the Import Feature?
Great question! Your business can transfer to our Dash software without importing. You will need to create everything from scratch, but going this route allows you to start fresh. Please let our team now if you would like to go this route.
